A small package begins with a simple layout, then gains a translation, instructions, a warning and distributor details. The back becomes a crowded paragraph. Reducing the type may only postpone the problem. Start by accounting for the content and distributing it across the available components, then choose a structure readers can actually use.
This workflow uses a fictional small carton and compares redistribution, an insert and a multilayer label where appropriate and permitted. Do not relocate mandatory information or replace it with a digital link without approval from the responsible product team. Location requirements vary by category and market.
Inventory both content and space
List each block: name, description, quantity, ingredients, instructions, warnings, company information and language versions. Record its source, approval status and any prescribed location. Word count alone is a poor measure of required space. Long names or marked Arabic text may need a different arrangement from another paragraph of equal length.
In a second list, identify usable components: front, back, sides, base and any approved insert. Exclude closure, glue and fold areas that cannot support reading. A surface may exist geometrically without remaining visible or accessible. Assemble a paper model before relying on it as a solution.
Map the content before decorating the package
Allocate block names to the template using simple rectangles. In the soap-carton exercise, recognition information may remain on the front, instructions on the back and company details in a stable supporting area. This is a layout proposal rather than a regulatory rule; final locations must satisfy the actual requirements.
Insert real copy early. Overflow discovered at this stage is easier to resolve than overflow found after illustrations have been approved around every block. Keep the initial map so the team can understand why particular space was assigned to particular information.
Compare three different space solutions
The first is redistribution within the existing package: reduce back-panel decoration, consolidate repeated headings with the content owner’s approval, or move a block to a suitable side. This avoids adding a component, but information must remain findable and readable rather than merely fitting somewhere.
The second is an internal leaflet for content that may be placed there. It adds room but also affects packing and may not be accessible before purchase. The third is an opening or multilayer label. It provides additional surface while adding manufacturing, adhesive and opening requirements. Obtain a sample, specifications and cost from the supplier before presenting it as a confirmed solution.
A QR code is not an automatic substitute for copy
A link can provide supplementary explanation or a demonstration video, but it does not establish that on-pack information is optional. Check the requirements before removing content. The code itself also needs suitable space, an accessible position and a reading test, so the saving may be smaller than expected.
Where supplementary digital content is used, give the link a clear purpose, such as additional usage guidance when appropriate. Test the page on a phone in the required language and identify who will maintain it. Avoid making a printed package depend on a temporary page or a link outside the client’s control.
Improve the paragraph without deforming the type
Start with text-box width, line spacing and gaps between headings and groups. Avoid repeated manual spaces for alignment because editing may disrupt them. Use clear styles for headings, body copy and notes, and test them across the languages. Compare any new weight or family against the previous printed sample.
Discuss whether long paragraphs can become meaningful steps or groups with the content owner. Do not turn connected instructions into short bullets that omit an important condition. Propose a clearer structure and obtain approval of the wording. In technical content, sentence order may be part of the meaning.
Calculate a simple column comparison
Suppose the exercise provides a 50 mm text area and a proposed 4 mm gap between two columns. Each column has 23 mm: (50 − 4) ÷ 2. Two columns may look tidy, but narrow measures can create many short lines and increase total height. Compare successive full-width blocks rather than assuming columns always save space.
Use the actual Arabic and English copy in both options and record line counts and total space. Do not compare a long version with shortened content. If one arrangement requires a smaller font, assess whether its visual benefit justifies that compromise. These calculations support planning; the final template, margins and text requirements come from the project and supplier.
Test opening and reading on a physical model
Assemble the carton and position the trial leaflet or label. Ask someone to find a specific item without directing them, then observe where they look. Is it apparent that the label opens? Can it be closed again? Does a leaflet fold obscure the first word? These are usability questions a flat preview cannot answer.
Test at actual size and confirm that printing settings have not changed the dimensions. A larger model cannot establish readability on the real product. Obtain an appropriate supplier sample where the solution depends on paper thickness, adhesive or fold count. A desktop prototype reveals early problems but does not approve final manufacturing quality.
Prepare the files for later updates
Retain editable copy during review and name components and languages clearly. A carton, insert and label each need an identifiable delivery file or workspace according to the supplier agreement. Avoid leaving abandoned versions beside approved artwork without distinction; this increases the chance of using the wrong component.
When shared information changes, review every occurrence rather than only the face currently on screen. A revision number or distributor name may appear in several components. Record the old and new copy and the affected parts, then export the approved versions again. File organisation protects the work invested in the layout.
What should the handover include?
- A final content map showing each information group.
- Approved copy with revision identifiers.
- Clearly named component files in the agreed format.
- A photograph of the assembled model showing opening and reading direction.
- Any unresolved production or specialist-review items.
If redistribution still leaves the text unreadable, the constraint may be the package’s area or construction. Explain alternatives and limits rather than repeatedly reducing the type. Use the project brief to assign content responsibilities, and the bilingual label guide to compare language arrangements.
